HOW IT WORKS
Effective data management
Internally Generated Documents consist of transactions that are generated or raised at your office or operations site. These will include Sales Invoices or point of sale records; Issuance of receipts; Payroll summaries payments thereof; Raising of payment vouchers; Making of payments via cheques; cash or online payment; Raising of Purchase Orders; supplier invoices; Staff claims and/or petty cash claims; while Externally Supplied Documents consist of third-party documents such as supplier’s invoices; bills for consumables; and other expenses.
To process these documents most businesses use a multitude of software. For eg, in retail sales, a Point of Sales software and stock software is used when it needs only one platform. This causes repetition/duplication of work which is very common and often a bane with medium-sized businesses.
Our methodology, on the other hand, is enabled by the use of one Accounting Platform which enables the business owner or his staff to generate all of the business transactions instead of using multiple platforms-such as Excel, stock, word or POS systems-and collating them later.
At SKOPOS the information of the transaction created is up dated on a real-time basis in the general ledger. This obviates the need for further processing. For eg, when a sales invoice is raised, not only is the sales account updated but also the stock balance and the cost of sales simultaneously.
Reports Generated
Generally, the reports that will be generated on a monthly basis will include the following:
- Profit and loss account and Balance Sheet
- Analysis of sales
- Analysis of purchases
- Creditors listing and aging
- Debtors listing and aging
- Stock listing
- Bank balances listing
Apart from the above, if there is a special request we will consider customizing. Please note that the reports will be agreed upon before commencing on the engagements.
Controlling Accounting Documents
Growing businesses generate the voluminous amount of accounting documents. The key to an efficient accounting department is the effective control of and processing these documents of transactions, which can be categorized into Internally generated and Externally supplied (third Party) documents
